Good people wait too long
Inquiries arrive while You are taking care of clients. By the time You reply, the person has moved on—or the message has disappeared under everything else. That is not a character flaw. It is a system problem.

AI automation for Marin County small businesses
I build practical systems for the follow-up, marketing, intake, and admin that keep landing back on Your desk. We start with what is actually in the way, build one useful system around how You already work, and stay with it until it works.
The real automation opportunity
They have good leads waiting too long, important follow-up living in someone’s head, and an owner doing the same work over and over. For most Marin businesses, the valuable opportunity is simple: respond sooner, follow up consistently, make intake easier, and stop rebuilding the same emails, notes, and marketing every week.
Inquiries arrive while You are taking care of clients. By the time You reply, the person has moved on—or the message has disappeared under everything else. That is not a character flaw. It is a system problem.
Every decision, reply, reminder, and document still depends on You. Your business cannot gain capacity without consuming more of Your week—and You did not build a business just to create another job for Yourself.
Follow-up and marketing happen when there is time. That means the work most likely to produce future revenue is the first work to get postponed. There is always another option.
Useful systems, not AI theater
The right first system is not the fanciest one. It is the one that removes a repeated burden, protects the way You treat people, or prevents a worthwhile opportunity from slipping away.
Acknowledge an inquiry immediately, gather the missing information, remind You when personal attention is needed, and keep the conversation moving—without pretending an automated message is a personal relationship.
Collect forms, answer routine questions, schedule the next step, organize documents, and make a new client’s first experience feel considered. People should feel cared for, not processed.
Turn Your ideas, recordings, and client questions into useful drafts in Your voice—then keep You in control of the final review. Your reputation should NEVER be handed to an unsupervised machine.
Summarize conversations, identify commitments, prepare follow-up, label records, and put the information where it belongs—so Your word and Your client’s expectations do not get lost.
Follow up after missed calls, cancellations, or no-shows while the opportunity is still current. Not with pressure. With a useful next step and the same respect You would offer personally.
Handle routine reminders, status updates, data movement, and checklists without asking You to remember every step every time. You have more important things to think about.
A controlled implementation
You do not need to reorganize Your entire business, become a part-time software engineer, or hand control to a black box. You already have a business to run. We start with one process, keep Your approval where it matters, and measure whether the system actually earns its place.
I want to understand how the work really happens, what You have already tried, and what Your clients expect from You.
We identify the real bottleneck in plain English. More technology is not automatically the answer.
It fits Your tools, Your voice, Your approvals, and the way Your clients deserve to be treated.
We measure what changed, improve what did not work, and stay with it until You can run it without depending on me.
Who this is for
Local when local matters
I have served this community since 2002. I work with coaches, advisors, consultants, health and wellness practices, and other professional-service businesses throughout Marin County. I am easy to find, easy to call, and accountable for the work. Ask around.
The practical starting point
This is not a discovery call disguised as a pitch. Bring the part of Your week that keeps consuming time or losing momentum. I will listen, tell You honestly what I see, and we will work on it together.
If the session does not earn its fee, You do not pay it. I do not want Your money if I cannot provide real value. That is my word and promise.
The person doing the work
I’m John Spongberg. Since 2002, I have run Personal Training In Marin in Corte Madera. Some clients have stayed with me for 5, 10, and even 16 years. Not because I made them dependent on me. They stayed because they felt heard, they saw and felt results, and the standard never moved.
That history does not magically make me an AI expert with decades of AI results—and I will never pretend that it does. What it gives me is 24 years of learning how real people change, where good intentions break down, and how to build something around the person instead of forcing the person into a generic program.
I am still a work in progress too. I keep learning, I can laugh at myself, and I will tell You when I get something wrong. But I will also tell You the truth when I see something standing in Your way. An easygoing, adaptable environment with a serious purpose—that is how I have always worked.
I do not sell a preferred piece of software, hand Your business to a junior team, or automate a decision that still needs Your judgment. I build one system at a time, keep You involved where Your standards matter, and stay with it until it can run reliably without me.

Questions from Marin business owners
Common starting points include lead follow-up, appointment reminders, client intake, routine email responses, content preparation, meeting summaries, document organization, and recurring administrative tasks. The right first system depends on where time or revenue is currently being lost.
Usually not. The goal is to improve the workflow around tools You already use. If something new would materially improve the result, I explain its purpose and cost before anything changes. I will not ask You to do something unrealistic.
It is practical implementation with You involved where Your knowledge and approval matter. I listen first, identify what is actually in the way, build the system around Your business, and document it so You remain capable and in control.
We decide what information the system actually needs, keep access narrow, use reputable platforms, and retain human approval for sensitive or consequential actions. Your clients trusted You first. The system has to respect that trust.
Yes. I work with owner-led businesses throughout Marin County, including Belvedere, Corte Madera, Fairfax, Larkspur, Mill Valley, Novato, Ross, San Anselmo, San Rafael, Sausalito, and Tiburon. I also serve broader Marin areas by Zoom or phone, with in-person sessions available by arrangement.
One useful system first
Bring me the repeated task, the delayed follow-up, or the process that depends too heavily on You. We will determine whether it should be automated, what should remain personal, and what the smallest useful improvement looks like. There are always options.
