Practical AI consulting for professional-service businesses in Marin County

AI consultant for professional-service businesses

Your expertise should be the part clients remember—not the delays around it.

I help coaches, advisors, consultants, wellness practices, and other professional-service businesses improve the work surrounding the client relationship: response, intake, preparation, follow-through, and the repeated administration that keeps pulling You away from the people You serve.

A five-minute client-journey check

Before You add AI, find the first place the client experience becomes harder than it should be.

01

Do good inquiries wait for You?

Look at the last five qualified inquiries. How long did each person wait for a useful response and a clear next step?

02

Are You rebuilding familiar work?

Notice what You repeatedly write, prepare, summarize, organize, or explain from a blank page.

03

Does follow-through change when You get busy?

Identify the updates, reminders, recaps, and check-ins that happen reliably only during a lighter week.

04

Is valuable knowledge trapped in Your head?

List the decisions, instructions, and client context that nobody else—or no reliable system—can access without asking You.

If one answer immediately brought a person, task, or recent frustration to mind, that is probably a better starting point than “How should I use AI?”

The professional-service client journey

Five places to create more capacity while protecting the relationship

Read across each stage: what the client needs, where the experience commonly breaks down, and what a carefully controlled system can do to help.

01
Stage

Inquiry and qualification

The prospective client needs to feel acknowledged, understood, and guided toward the right next step.

Common gap

The inquiry sits until You are free, or every person receives the same generic response regardless of fit.

Useful support

Immediate acknowledgment, thoughtful qualifying questions, appropriate scheduling, and an alert when Your personal response matters.

02
Stage

Consultation and proposal

The prospective client needs a clear understanding of the problem, the recommendation, and what happens next.

Common gap

Notes remain scattered, proposals take too long to prepare, and important context has to be reconstructed.

Useful support

Meeting preparation, structured notes, draft recaps, proposal inputs, and a visible follow-up sequence for Your review.

03
Stage

Onboarding

The new client needs confidence that You are prepared, organized, and ready to deliver what was promised.

Common gap

Forms, agreements, scheduling, instructions, and routine questions create unnecessary back-and-forth.

Useful support

Coordinated intake, document collection, approved answers, reminders, and a dependable welcome process.

04
Stage

Service and follow-through

The client needs continuity, clear commitments, and evidence that the details are not being lost.

Common gap

Preparation, documentation, updates, and action items consume the same expert time required for delivery.

Useful support

Context summaries, draft follow-up, task routing, progress reminders, and organized records—with You approving what matters.

05
Stage

Retention and referrals

A satisfied client needs a useful reason to continue, return, or introduce somebody who would benefit.

Common gap

The relationship goes quiet after delivery because re-engagement and referral conversations rely on memory.

Useful support

Well-timed check-ins, outcome reviews, helpful resources, and reminders for You to make the personal referral request.

Your practical next step

Choose the first stage where the experience regularly slows down or depends on You remembering everything. Write down one example from the last 30 days and what a better result would have looked like. That is enough to begin a useful conversation.

A controlled implementation

We improve the work around Your expertise—not the judgment at the center of it.

A professional-service business runs on trust. We begin with one clear workflow, define what the system may prepare or handle, keep Your approval at the consequential points, and measure whether the change actually improves capacity or the client experience.

1

Follow the real client journey

I learn what happens from the first inquiry through delivery and follow-through—not merely what the software says should happen.

2

Find the expensive gap

We identify where time, attention, opportunity, or client confidence is being lost and define the result worth improving.

3

Build around Your standard

The system fits Your tools, language, approvals, and responsibilities. It supports the relationship without impersonating You.

4

Measure and strengthen it

We look at what changed, correct what did not help, document the workflow, and make sure You remain capable and in control.

Human judgment stays where it belongs

The question is not simply, “Can this be automated?” It is, “Should it be?”

Good work for a system

  • Preparing information before You review it
  • Organizing notes, documents, tasks, and next steps
  • Sending approved reminders and routine updates
  • Drafting from Your established knowledge and language
  • Alerting You when personal attention is required

Work that should remain human

  • Professional advice and consequential decisions
  • Sensitive, emotional, or high-stakes conversations
  • Promises, approvals, or commitments made in Your name
  • Anything that requires context the system cannot reliably know
  • The moments that define why clients trust You

Local when local matters

The First System Session

This is not a discovery call disguised as a pitch. Bring the part of Your client journey or workweek that keeps consuming expert time, delaying follow-through, or limiting capacity. I will listen, tell You honestly what I see, and we will work on it together.

  • Your largest practical AI opportunity, identified in plain English
  • A written plan showing the workflow, tools, approvals, and result worth measuring
  • One small automation built and running before the session ends
  • A straight recommendation about whether a larger implementation is worth Your time and money

If the session does not earn its fee, You do not pay it. I do not want Your money if I cannot provide real value. That is my word and promise.

John Spongberg, founder of AI Consultant In Marin

The person doing the work

I have spent 24 years helping people become stronger, more capable, and more independent.

I’m John Spongberg. Since 2002, I have run Personal Training In Marin in Corte Madera. Some clients have stayed with me for 5, 10, and even 16 years. Not because I made them dependent on me. They stayed because they felt heard, they saw and felt results, and the standard never moved.

That history does not magically make me an AI expert with decades of AI results—and I will never pretend that it does. What it gives me is 24 years of learning how real people change, where good intentions break down, and how to build something around the person instead of forcing the person into a generic program.

I am still a work in progress too. I keep learning, I can laugh at myself, and I will tell You when I get something wrong. But I will also tell You the truth when I see something standing in Your way. An easygoing, adaptable environment with a serious purpose—that is how I have always worked.

I do not sell a preferred piece of software, hand Your business to a junior team, or automate a decision that still needs Your judgment. I build one system at a time, keep You involved where Your standards matter, and stay with it until it can run reliably without me.

Questions from professional-service business owners

Before you decide whether this is worth a conversation

How can I use AI without losing the personal touch?

Use AI for preparation, organization, reminders, summaries, and routine coordination—then keep Your own judgment and approval at the moments that affect trust. The goal is to give You more room for personal service, not replace it.

What should a professional-service business automate first?

Start with a repeated task that slows response, consumes expert time, or creates a preventable gap in the client experience. Inquiry follow-up, intake, meeting follow-through, proposals, onboarding, and document preparation are often useful starting points.

Do I need to replace the software my business already uses?

Usually not. The first goal is to improve the workflow around tools You already use. If something new would materially improve the result, I explain its purpose, cost, and role before anything changes.

How do you protect client information?

We decide what information the system actually needs, keep access narrow, use reputable platforms, and retain human approval for sensitive or consequential actions. Your clients trusted You first. The system has to respect that trust.

Which professional-service businesses do you work with?

I work with coaches, advisors, consultants, health and wellness practices, and other owner-led professional-service businesses where expertise, trust, and personal attention matter. I serve businesses throughout Marin County, with Zoom or phone available and in-person sessions by arrangement.

One useful system first

Where is Your expertise being spent on work that should already be handled?

Bring me the delayed follow-up, repeated preparation, inconsistent handoff, or client process that depends too heavily on You. We will determine what a system should handle, what must remain personal, and what improvement is worth measuring. There are always options.
